Himalayan Taekwondo Academy collects personal information in order to enrol students, run classes, take payment and keep children safe while they train. This notice explains what we collect, why, and what you can ask us to do with it.
About the student. Name, date of birth, gender (optional), and โ where you choose to give them โ school and grade. For students under 18 this information is provided by a parent or guardian, not by the child.
About the parent or guardian. Name, relationship to the student, email address, phone number and postal address.
Emergency contact. For summer camp we require the name and phone number of a second contact.
Health information. Allergies, medical conditions and special needs you tell us about, so instructors can respond appropriately during class.
Enrolment and payment records. The programme and plan chosen, class times selected, the amount charged, and a reference to the payment held by our payment provider.
Your agreement. When you sign a registration form electronically we record your typed name, the date and time, your IP address and your browser identification. This is what makes the signature legally meaningful, and it is kept unchanged as a record of what you agreed to.
We never receive or store card numbers, security codes, or bank account details. Payment card information is entered on our payment provider's own secure page and never reaches our systems. We hold only a reference number and the amount paid.
Students do not have accounts on this website and cannot log in. All information about a child is provided by their parent or guardian through the registration form or by our staff at the academy.
As the parent or guardian, you may ask us at any time to show you the information we hold about your child, correct it, or delete it. Deleting it may mean we can no longer enrol your child in classes.
The registration form asks separately whether you consent to photographs or video of your child being used for promotional purposes. This is optional โ you can register without agreeing to it, and your answer is recorded with your registration. You can withdraw consent at any time by contacting us.
To enrol students and manage their classes; to contact you about your child's training, schedule changes and events; to take and record payment; to respond to a medical situation during class; and to keep the records the academy is required to keep.
We do not sell personal information, and we do not share it for advertising.
Our payment provider processes payments on our behalf and holds its own record of the transaction. Our email provider delivers the messages we send you. Our web host stores the site and its database. These providers act on our instructions and are not permitted to use your information for their own purposes.
We may also disclose information where the law requires it, or where it is necessary to protect a child.
Registration forms started but never completed are deleted automatically after seven days.
Signed agreements, enrolment records and payment records are kept for as long as the academy may need them to answer a claim. Because a claim relating to a child can be brought years after they stop training, these records are kept well beyond the end of membership.
You can ask us to show you what we hold, correct anything that is wrong, delete information we no longer need, or withdraw photo consent. Contact us and we will respond as quickly as we can.
Access to student records is limited to academy staff who need it. The site is served over an encrypted connection. No system is perfectly secure, and if a breach affecting your personal information occurs we will notify you as required by Pennsylvania law.
If we change how we handle personal information we will update this page and the date shown above.

We do not use analytics or advertising cookies, and no third party tracks you here. The only cookies this site sets are the ones that keep you signed in to the parent portal and protect forms against cross-site request forgery. They are required for the site to work and hold no marketing data.
When you use the contact form we store your name, email address, phone number if you give one, and your message, so we can reply and keep a record of the conversation. It is emailed to academy staff and is not used for marketing unless you ask to hear from us.
